The treasurer's monthly close: a three-step checklist to keep your chama honest

Every month-end needs the same three tasks: confirm pending payments, reconcile your cashbook against cash actually counted, then share the report with members.

Month-end is when most chama disputes begin. A treasurer who skips reconciliation carries doubts forward, and members who never see a statement stop trusting the books. The solution is not complicated: every treasurer needs a short monthly checklist to close the period cleanly before the next one begins. Three tasks done in order will keep your records honest and your group calm.

First, confirm every pending payment. Members report M-Pesa codes when they send contributions or loan repayments, but those entries stay pending until a second official confirms them. At month-end the treasurer and chairperson sit together and work through the list: check each code against the M-Pesa statement, then confirm it in the record. Chamabora enforces this two-person rule so no one ever confirms their own money, and it will not accept the same M-Pesa code twice. Clear the pending queue completely before you reconcile.

Second, reconcile the cashbook against cash actually counted. Say your group keeps contributions in a bank account and loans cash from a box: count the notes, check the bank balance on your phone, then add them together. Now open the cashbook and compare that total with the closing balance Chamabora calculates from all confirmed contributions, loan disbursements and expenses. If they match, record the reconciliation with the date and amount counted. If they do not match, stop and find the difference before you close the month.

Third, generate the month-end report and share it with members. A treasurer who hides the statement creates suspicion even when the books are clean. Chamabora generates member statements, arrears lists and the full income and expenditure report as PDF or CSV from live records, and every member can also see their own position at any time. Send the group report in the WhatsApp group or read it at the meeting so everyone knows where the chama stands.

A monthly close done properly takes thirty minutes and prevents hours of argument later. Pending payments confirmed, cash reconciled, report shared: those three steps in that order mean the new month starts with everyone trusting the same set of numbers. Chamabora keeps all the records and calculates balances automatically, but the discipline of closing each month cleanly still rests with the treasurer and the officials who confirm the work.

The app costs ten shillings per member per month counted from the register, with the first two months free, but every chama also runs free until 30 April 2027 with no card needed. Records stay readable and exportable even if a subscription lapses; only new entries pause. When your treasurer follows the same checklist every month, your group's money stays transparent and your members stay confident.
